NetID Services After Leaving Duke

Duke graduates can use their NetIDs for one year after graduation. After that year, the account will expire, and all associated accounts, including e-mail addresses, mailboxes, e-mail forwarding and AFS space, will be deleted. An employee's NetID expires and all associated accounts are deleted after the last day of employment. (OIT offers tips on easing that transition.)

OIT reviews NetID eligibility on a quarterly basis and sends appropriate e-mail notifications to staff, faculty and students who have terminated their affiliation with the university and are no longer eligible for electronic services. We will automatically close your Duke account two weeks after we notify you, by e-mail, that your account is about to be closed.

Exceptions may be granted on a case-by-case basis. Any person who believes he or she still has a formal business relationship with Duke can ask a Duke sponsor to request affiliate status on his or her behalf. A Duke sponsor is defined as a person who meets all three of the following criteria:

  • Is full-time regular paid staff or faculty at Duke (with a record in the HR system of record, SAP).
  • Has firsthand, personal knowledge of the affiliate’s formal relationship with Duke.

  • Agrees to vouch for the affiliate's formal relationship with Duke and agrees to immediately notify OIT when that relationship ends.

To request affiliate status for someone who has lost his or her staff/faculty affiliation with Duke, a sponsor must obtain the person’s Duke Unique ID  (a seven-digit number beginning with a 0) and submit the request at: https://idms.oit.duke.edu/dukeid/request

After the request has been made, the sponsor will be contacted regarding the requested affiliate status. Requests will be answered on a first-come, first-served basis, usually within two business days. Sponsors are expected to communicate the results of the request to the affiliate.
