Shared Mail
How to administer your shared mailbox using WebMail
- Log in to webmail.duke.edu.
- Click on the Folder Sharing icon at the top of the main WebMail index page. This should open a new browser frame in the Share mail folders options panel. It initially will open on your Inbox.
- Select the desired shared mailbox from the pull-down list in the middle of the page (where it initially has Inbox selected, next to the folder-server icon).
If the desired shared mailbox does not appear in your list, but you are certain that you have administrative rights in the mailbox, uncheck Use IMAP Subscriptions in your Server and Folder options. With IMAP Subscriptions enabled, the folder sharing interface may not see the specific shared mailbox(es) you want.
- The list of current access rights for the mailbox should be displayed, with each user (other than yourself) having a radio button on the left and a list of options on the right. You can see the rights each user has by selecting that user's radio button. Adjust the checkboxes and click Modify to change that user's options.
- To add rights for a new user, you will need to know the user's NetID (not the user's email address). Follow these instructions to find someone's NetID.
- Once you have the NetID, select the New radio button, enter the NetID in the User field under Grant access, then use the checkboxes to set the rights you want for the user. Click Add.
In general:
- to give someone read-only access to a mailbox (so they can read messages and reply to/forward messages, but not delete, refile, or otherwise update messages in the folder), you will want to grant lrs rights.
- to give someone full read/write access, give them lrswipcd rights.
- to give someone full read/write access and the ability to change the ACL (give and remove rights to and from other users), give them lrswipcda rights.
Find a NetID
To find someone's NetID:
- Go to Online@Duke and click the Directories link at the top of the page or under the Directories category, click the link to Search for: Duke person or department. You will need to authenticate using your Duke NetID and password.
- Enter the user's name in the search field.
- Retrieve the Duke NetID information from the results of your search.
